An internal assistant for clinics: protocols, prices, and the phone that never stops
In a clinic, the front desk answers the same questions all day long: how much the first visit costs, whether payment plans are available, how to cancel an appointment, which antibiotic is prescribed before an implant. Each one has an exact answer, written in some protocol. And yet, half the time a doctor or the coordinator gets interrupted to confirm it.
The four families of questions
Prices and financing: treatment prices, which visits are free, financing terms (minimum amounts, installments, what documentation the bank asks for).
Scheduling: cancellations and changes, with their penalties and exceptions; how emergencies are handled and which slot of the day is held for them.
Clinical preparation: premedication per treatment, fasting, what the patient should bring, when the doctor steps into the decision.
Referrals: which partner clinic a patient is sent to when there's no availability or the specialist isn't in.
Document them just once
The key is writing each answer with the exact number and the person responsible: “free cancellation up to 24 h in advance; after that, 30% of the session is charged, except for a justified medical emergency” works for anyone at the desk without escalating the call. Three documents are enough to start: reception protocols, prices and financing, and treatment preparation.
The interface matters more than the file
With those three documents loaded into an internal assistant, the receptionist asks with the phone in hand and answers the patient on the same call, with the source cited underneath.
